Our company recognizes the importance of personal information protection in the advanced information-communication society and works on protection of personal information based on the following policy. In this policy, "Personal information", "Personal data", and "Retained personal data" shall follow the respective definitions of the Act on the Protection of Personal Information (Personal Information Protection Act).

 

Acquisition of Personal Information
  1. Our company shall acquire individual information by legal and fair means.
  2. When acquiring personal information, our company shall disclose, notify, or specify the purpose of use pursuant to the provisions of laws and regulations.
Use of Personal Information

Our company shall use personal information only within the scope necessary for achievement of the purposes of use mentioned below. In principle, our company shall not use personal information beyond the scope of the purposes of use mentioned below without the consent of the person himself/herself.

  1. Personal information of customers
    • Sales and business activity with regard to manufacture, sales, and after-sales service of our products
    • Communication with regard to business management or industrial activity of our company
    • Communication/provision of information with/to manufacturers and distributors of our products
    • Activities with regard to development, planning, research and development, and quality improvement of our products
    • Execution of business operations entrusted by customers
    • Business operations with regard to the items mentioned above
  2. Personal information of shareholders
    • Business operations to manage shareholders and stocks
    • Exercise of right/performance of obligation by shareholders or company
    • Preparation and provision of documents/records/data based on laws and regulations

  3. Personal information of members including employees and officers or retirees of our cooperative companies, or their families
    • Business operations with regard to salary calculation/payment and tax

Provision of Personal Data to Third Party

Our company shall not disclose or provide personal information to the third party without the consent of the person himself/herself except for the following cases.

  1. Cases based on the Personal Information Protection Act or other laws and regulations
  2. Cases in which whole or a part of handling of personal data is entrusted
  3. Cases in which the business is succeeded due to a merger, company sprit, transfer of business, or other reasons
  4. Cases in which personal data is provided to persons who use it jointly with our company
Joint Use of Personal Data

Our company shall jointly use personal data within the scope set forth below.

  1. Our company shall strive to maintain the exactness of personal data.
  2. Our company shall strive to delete personal data without delay when the need to use it is eliminated.
  3. Our company shall take appropriate information security measures to prevent loss, destruction, alteration, leakage, and so on of personal data.
  4. When entrusting handling of personal data to the third party, our company shall exercise necessary and proper supervision of the entrustee.
  5. Our company shall take appropriate measures based on laws and regulations when providing personal data to foreign countries.
  6. Our company shall correspond appropriately based on laws and regulations when providing personal data to the third party or receiving it from the third party, and required to submit the provision/reception record based on the Personal Information Protection Act.
Disclosure, Correction, Suspension of Use, and Deletion of Retained Personal Data

Our company shall promptly correspond when a person requests disclosure, correction, suspension of use, deletion, and so on of his/her retained personal data except the cases which fall under any of the nondisclosure reasons specified in the laws and regulations.

Our company shall emphasize the protection of the individual number and specific personal information of the customers and the officers and employees of our company (hereinafter referred to as "specific personal information") and establish the following policy and make efforts to thoroughly inform it to all officers and employees of our company to ensure proper handling of the specific personal information.

 

Proper Handling of Specific Personal Information

  5. Clerical tasks related to preparation and submission of withholding certificate (including report of salary payment)
  6. Clerical tasks related to preparation and submission of withholding certificate of retirement income (including submission of application for reception of retirement income, preparation and submission of special tax collection form of retirement income, and preparation and submission of payment report of recipient of retirement allowance)
  7. Clerical tasks related to preparation and submission of payment report of compensation, charge, contract deposit, and prize money paid for instructor, lawyer, tax accountant, public consultant on social and labor insurance, and so on by our company.
  8. Clerical tasks related to preparation and submission of payment report of dividend & retained earnings and interest on funds for shareholders to whom our company paid dividend and so on
  9. Clerical tasks related to preparation and submission of payment report of fee for usage of real estate for lessor to whom our company paid rent and so on
  10. Clerical tasks related to preparation and submission of payment report of consideration for receipt of real estate for person to whom our company paid consideration for transfer of real estate and so on
  11. Clerical tasks related to preparation and submission of payment report of intermediary fee of real estate transaction or rental for person to whom our company paid intermediary fee of real estate transaction or rental
  12. Clerical tasks related to provision of pension or lump sum payment of defined contribution pension plan (Limited to clerical tasks related to preparation of legal record which must be submitted to tax authorities at payment of pension or lump sum)
  13. Other clerical tasks which fall under any of the items of Article 19 of Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure and can receive specific personal information
Matters Regarding Security Control Measures
  1. Our company shall separately establish the handling rule to control specific personal information and take necessary and proper security control measures to prevent leakage, outflow, damage, and so on of specific personal information. In addition, to make the officers and employees handle specific personal information, our company shall exercise necessary and proper supervision of the officers and employees so that the security control measures for specific personal information is properly taken.
  2. In case where handling of specific personal information is delegated to a third party with the consent of the person, our company shall select the one meeting the sufficient level of specific personal information protection, determine that the security control measures be taken by a contract and so on, and exercise necessary and proper supervision of the contractor.
Conformity to Laws, Regulations, and Guideline

Our company shall conform to the laws and regulations related to personal information and specific personal information and the codes of the specific personal information protection committee and so on, and all officers and employees shall understand the importance of specific personal information protection and execute the proper handling methods.

Our company shall continuously improve this basic policy and the handling rule so that specific personal information is protected properly.
